September/2001 Financial Web Report Update
In response to user requests, the following shared queries have been developed, tested and moved to Production. They are all located under the Shared Queries Button.
Accounting and Reconciliation Section
- Transaction/Account Inquiry (TRNI) - Are you looking for accounting line detail information for a specific transaction? If you are, the Transaction/Account Inquiry (TRNI) query can help you. Enter the transaction code and transaction number in question and the query will return all of the transaction detail. The query will provide you additional information that is not provided by the TRNI table in CUFS. Unlike the TRNI table in CUFS, which rolls up the balances for fund-area-org or fund balance sheet account, this query will list all the detail accounting lines. Information for EB and RB documents, which are not part of the TRNI table in CUFS, can also be queried. If the transaction contains vendor information (i.e. – vendor code, vendor name, line description information), this information will be returned by the query.
Audits/Oversight
- CUFS DTEX or POTX for Specific Document - Have you always wanted an easy way to look up or print DTEX or POTX records? Now there is a shared query called DTEX for Specific Document that will enable you to do this. The query requires you to enter the transaction type and transaction number to find the DTEX for a specific document. The query will return the transaction type, transaction number and transaction date in the header of the query. The line number and DTEX or POTX information will be returned in the body of the query. If the document type is a PO it will not return a transaction date because POTX records do not contain the transaction date.
- Financial FormsNirvana Documents by Area, Transaction Type, and Action – This query will help you identify who created or who signed documents processed within the Financial FormsNirvana (FFN) system using the DTEX created in FFN and sent to CUFS. Enter the CUFS area and transaction type with an action of C (Created) or S (Signed). The results will include the DTEX line information listing who created or signed the document in FFN and on what date. The query results will have two dates, one for the date the document was created or signed and one for the transaction date (not the system acceptance date). If the document type is a PO it will look at the POTX table and will only return the signed or created date because POTX records do not contain the transaction date. The Created/Signed information wasn’t included in the DTEX records until approximately June 2000, so any FFN records prior to this date will not be pulled back by the query.
Grants Management Section
- Aged Pre-Award Accounts > 90 Days – Enter a grant administrator or grant accountant code to get a listing of aged sponsored pre-award accounts > 90 days from the pre-award start date. The grant administrator and grant accountant codes are found on the sponsored accounts GDES record in CUFS. The report can also be run be entering ‘ALL” to see all aged sponsored pre-award accounts > 90 days sorted by grant administrator, grant accountant or aging length. This report is updated monthly.
- Fixed Price Accounts Past End Date – Enter a grant administrator or grant accountant code to get a listing of all fixed price accounts past the project end date. The grant administrator and grant accountant codes are found on the sponsored accounts GDES record in CUFS. The report can also be run be entering ‘ALL” to see all fixed price accounts past their end date sorted by either grant administrator, grant accountant or total account balance. Accounts with a deficit balance in both the unobligated and ending balance columns are excluded from this report. This report is updated monthly.
August/2001 Enhancement to the Non-salary Expense Transfer Activity by Area and the Non-salary Expense Transfer Activity by Area Class reports
The reports are now aging non-salary expense transfer activity. The report will show the original document transaction type, number and date as entered by FFN users when processing an IX document. If the IX document was processed over 30 days past the original transaction date, an “X” will be entered in the report’s aging column. If the IX document was not processed in FFN and does not have a related DTEX, or the user did not enter the original transaction number and date in FFN , the Original Document ID column will show “Can’t Identify”.

Accounting and Reconciliation Section
- Payment Voucher(PV) Payment Status - Enter a payment voucher transaction number to find the payment status. If the PV has been paid, the results include the vendor code, vendor name, check date, check number, PV amount and total of check.
Grants Management Section
- Proposal and Award Activity Report (By Area)-Results displays proposal and award activity for time period and area selected by the user. Results can be sorted by principal investigator or agency names. The data use is from the SPA proposal and award table. Questions regarding this query should be directed to OAR (Office of Oversight, Analysis & Reporting).
- USDE Letter of Credit Revenue Recognition-report is for use by Sponsored Financial Reporting Office.

AGENCY-SPECIFIC EXPENSE CATEGORIES SUMMARY BY BUDGET PERIOD & AVT TRANSACTIONS
Accrued Vacation Transfers will be treated as Salaries and Wages for the Agency-Specific Expense Categories Summary by Budget Period Report. Detail for transactions against object code 9999 will appear as a separate budget line on the report, but will be included in the subtotal for personnel. AVT transactions represent both salary and fringe and are processed only in the financial system (CUFS) and not in PeopleSoft.
CHANGES TO FINANCIAL WEB REPORTS THAT CONTAIN PAYROLL DATA
(Project is complete)
The Data Warehouse Group and FSS completed the project to ensure Financial Web Reports containing both financial and payroll data continue to function as designed. The reports that were modified to include PeopleSoft data are:
1.The Personnel Expense Detail drill down from the Agency-Specific Expense Categories Summary By Budget Period Report (located under the PI Reports and Sponsored Report Buttons)
2.Salary Transfers by PI/Account, Salary Transfers by Area/Department and Salary Transfers by Area Class/College (located under the Sponsored Report Button)
3.Salary Expense Transfer Detail (located under the Shared Queries Button).
4.Payroll Encumbrance and Expense Summary (located under the Payroll/VSL, Nonsponsored and Sponsored Buttons) is now available for FY01.
PAYROLL/VSL WEB REPORTS, with one exception, are no longer available on the Financial Reports on teh Web Site. Replacement reports that include Peoplesoft data can be found on the Mangement Reporting Web Site (http://www.umreports.umn.edu
The one exception is the Payroll Encumbrance and Expense Summary Report. This report is considered part of the sponsored and nonsponsored suite of reports and can be accessed from either of those buttons. The Payroll Encumbrance and Expense Summary Report has been modified to include PeopleSoft (FY01) data.

AUGUST/2000 – CARRYFORWARD INFORMATION ADDED TO THE BUDGET STATUS BY FUND FINANCIAL WEB REPORTS
The carryforward amount from the budget prep tables have been added to the Budget Status by Fund Reports.
Until the fiscal year is closed (annual close) at the end of November, this amount will reflect the amount entered during budget prep.
After annual close, the carryforward amount will reflect the actual carryforward amount from the old fiscal year to the new fiscal year.

AUGUST/2000 – CHANGES TO FINANCIAL WEB REPORTS THAT CONTAIN PAYROLL DATA (Project in process)
The Data Warehouse Group and FSS are working on a project to ensure the following reports will continue to work.
Until the project is completed (anticipate late September) the following reports will not be functioning in their entirety.
- The Personnel Expense Detail drill down from the Agency-Specific Expense Categories Summary By Budget
Period Report (located under the PI Reports and Sponsored Report Buttons) This report will not be available until
the PeopleSoft payroll data is available. Currently the only place to find this information is from your departmental abstracts.
The rest of the Agency-Specific reports are working fine.
- Salary Transfers by PI/Account, Salary Transfers by Area/Department and Salary Transfers by Area Class/College
(located under the Sponsored Report Button) Until the PeopleSoft historical salary adjustments (HSA's) data is available,
this report will be unable to age salary transfers (Transfers Aged over 6 months column). The rest of the report is working fine.
- Salary Expense Transfer Detail (located under the Shared Queries Button).
Although this report will continue to run, salary cost transfers (HSA's) done in PeopleSoft will not appear with detailed information.
Note for 2 and 3: Salary Cost Transfers (Type 38s) for payrolls ending 6/18/00 or earlier are being processed in the legacy (old) payroll system and NOT in PeopleSoft. Because of this difference, some salary expense detail for FY01 will appear in the Salary Expense Transfer Detail Report. Salary Costs Transfers (Historical Salary Adjustments) for payrolls run in PeopleSoft (pay periods beginning with 6/19/00 and later) will not be available for processing until mid-August.

The reports on the Payroll/VSL page do not and will not contain data from the new Peoplesoft payroll system.
New reports for both the new and old payroll systems are being developed on the Management Reporting web
site (www.umreports.umn.edu). These reports should be ready in the latter half of August, 2000.
JULY/2000 – PROPOSAL AWARD CHANGES (cufs_grant_awd)
Many of the principal investigator names were appearing as null in a variety of Financial Web Reports due to a change in proposal processing in SPA. In order to correct the data problems between the old proposal and award database and the new EGMS database in SPA, a new conversion table was added to the CUFSRDB database and a new column was added to the cufs_grant_propawd table. Proposals generated using the old proposal award system assigned numbers where the first two digits denoted the fiscal year, with the remaining 5 digits assigned in ascending order throughout the fiscal year. The first digit of the EGMS proposal number will be the number one (1) with the remaining digits assigned in ascending order from the inception of the database. If you continue to experience NULL values in a report, please contact your grant administrator in SPA to ensure the reference number field on GDES matches the proposal number in either SPA's proposal and award database or the EGMS database.

Accounting/Reconciliation
Automated Disbursement (Check)Detail - enter the trans_cd & trans_no for a check to find a listing of all the payment vouchers processed on the specific check along with corresponding invoice numbers, discounts, header comments, DTEX check message and a summary total.
Balance Sheet Detail - enter balance sheet account and accounting period to find the current fiscal year beginning balance, ending balance for the accounting period selected and the net change through the selected accounting period
Balance Sheet Summary by Accounting Period/Reporting Category - enter a fund, balance sheet account, reporting category (if valid), closed accounting period and account type for a detailed listing of all transactions with an inception to date balance forward, summary total for the selected month's activity and a total balance for the account and accounting period selected.
Expenses by Area/Fiscal Year - summary of year to date expenses by a selected CUFS area and fiscal year, sorted by sponsored and non-sponsored accounts with a subtotal for sponsored and non-sponsored accounts and a grand total of expenses for the selected area.
(NEW) Transaction Detail by Area/Org/Fiscal year - transaction detail for a selected area, org and fiscal year with sort options of sub-org or revenue/object codes.
(NEW) FY/MY Problem CUFS Accounts (Detail) - transaction detail for CUFS accounts with both multi-year and fiscal year transactions (To find a listing of the accounts use the FY/MY Problem CUFS Account Summary query)
(NEW) FY/MY Problem CUFS Accounts (Summary) - listing of CUFS accounts with both mutli-year and fiscal year ledger records. (To find specific problem transactions use the FY/MY Problem CUFS Accounts (Detail) query
PV Threshold - listing of payment vouchers (PV) processed during a selected period of time, not to exceed 31 days, with total disbursed payments in excess of $100,000.00. Listing to include payment voucher number, acceptance date, vendor code, vendor name and total disbursed.
(NEW) Employee Expense Reimbursements - listing of employee expense reimbursements by fiscal year, object and subobject,
with selection criteria of vendor code. Employee vendor code can be found on the VENA table in CUFS.

(NEW) Consolidated Endowment FD (CEF Status Report) - UAEW1B - similar as the quarterly production UAEW1B report for endowments. Report by endowment ID and quarter end date.
(NEW) Consolidated Endowment FD (CED Status Report)-UAEW2B - similar to the quarterly
production UAEW2B report for endowments. Report by area class, area within the area class or all area
within the area class and quarter end date.
Purchasing
Summary of Purchases by object/subobject/vendor - This query provides a summary listing of purchases sorted by object/subobject. Results include vendor code, vendor name, descriptions, number of transactions and grand total paid for a selected object for the fiscal year selected.
3/22/99 – PI FRIENDLY REPORT FOR SPONSORED FUNDS
The Agency-Specific Expense Categories Summary Report provides financial information (budget, expenses, encumbrances and account balance) based on familiar agency expense categories such as supplies, travel and equipment, instead of by CUFS object codes.
The report contains both summary and detail levels of information. Buttons for budget detail, personnel detail and non-personnel detail information are found on the summary report. The reporting period is based on the agency's budget period, where applicable, otherwise it is inception-to-date reporting.
3/22/99 - FINANCIAL WEB REPORTS ACCESS CHANGE
As of 3/22/99, University employees will no longer need to complete an access form (AR001) to view the public reports. The access requirements have now been changed to use your X.500 ID and PASSWORD. The Financial Reports home page looks the same. However, when you select a type of report, another login screen will appear and require the entry of your X.500 information in the fields labeled Internet Access ID and Password.
For questions related to your X.500 ID and PASSWORD, please call the ADCS Helpline at 626-4276.
To access the databases directly, you will still need your IDEA ID and PASSWORD.
3/22/99 - SPONSORD FINANCIAL OVERSIGHT REPORTS AND SPONSORED PAGE REDESIGN
A suite of sponsored financial oversight reports is now available. These new reports will assist deans, department heads and directors in identifying patterns that may be explored further or consider changes in operations to improve the outcomes.
To make it easier to get to the reports, an additional change has now been made. The sponsored report listing page has been reorganized by level of report. After selecting sponsored reports you may now click on your choice of PI, Account, Department, and College. The oversight reports can be found under the Department and College listings.
01/06/99 - NONSPONSORED FINANCIAL WEB REPORT ENHANCEMENTS
The nonsponsored financial web reports have been revised to accept ALPHA orgs.
This change was necessary because of the new orgs created for tuition, space and
indirect cost recovery (e.g. TUIT, SPAC, IDCR).
Based on feedback and requests from users, a column for reporting category
(titled "Report Cat") was added to the Transaction Detail-Expenses and
Transaction Detail-Revenues nonsponsored reports.
8/10/98 - FINANCIAL REPORTS UPDATED WITH Y2K CHANGES
Several reports were updated with Y2K changes. The most visible will be those reports
that require a fiscal year as input (e.g. Flexible Period
Expense Summary or the Customized reports). To use these reports, a fiscal year must
now be entered with the century.
Examples: 1998 (not 98), 1999 (not 99), 2000 (not 00)
All other date logic changes should be transparent. You can view these changes by
selecting either report above located at
http://financial.reports.umn.edu.
7/1/98 - NEW SPONSORED REPORT: BUDGET VARIANCE SUMMARY
A new report has been added to the list of Budget Period reports. This new report,
the Budget Variance Summary report, provides more detailed budget information
(e.g. carryforward or agency approved rebudget amounts) for sponsored projects by
budget period. The information is available for the account's CURRENT budget period
and was designed to assist with monitoring of expense category variances. The audience
for this report is departmental administrators, accountants, principal investigators,
or others responsible for monitoring the budget activity on their sponsored projects.
The report is to be used for projects funded by NIH (DHHS), USDE or those accounts
funded specificly by budget period (within a multi-year project period). This report
is now available for viewing behind the Sponsored button at
http://financial.reports.umn.edu. A detailed description of the Budget Period reports
is also available by clicking on the heading, "Budget Period Reports"at the top of the
Sponsored
home page.
